Booking Terms and Conditions :
AlexEntertainment will require 1 hour for set up at the beginning of the night and 45 minutes for set down at the end of the night. Due to the heavy nature of the equipment, it would be fantastic if an access route is kept clear and short in distance .
You may request songs early online via your client area and will try our best to get every song you request played, we can't guarantee that ALL your songs will be played. For legal & copyright reasons, we will only play client provided tracks if they are supplied on audio CDs (MP3’s are not accepted). Client provided tracks must be supplied either PRIOR to the event or at the beginning of the night.
Requests are highly welcomed on the night and we encourage them; and to ensure we can cover almost any request, we will bring a mobile internet dongle.... however please be advised we cannot guarantee connection.
A non refundable booking fee must be paid to secure your event date. Your date is NOT secure until this is received along with a completed booking form. Final payment must be made upto 3 days PRIOR to the event. Payments can be made online via your client area using paypal or credit/debit card. Alternatively, cash is accepted as well, please contact us to arrange cash payments. Payment by cheque is no longer available. The final invoice will be presented to you on the night of your event or alternatively you can download a copy direct from your client area.
If you are a corporate client and we have mutually agreed to accept payment AFTER the event, payment must not be later than 7 days after the event. (Please note, if no agreement has been made then the payment terms are as per our standard terms above)
We will bring a wide variety of lighting effects depending on your package size, however please note that some of these lights may not be suitable to persons with epilepsy. Light Smoke Machines are sometimes used, please inform us on the night if this is not suitable or required. If your event is having Karaoke, AlexEntertainment will provide a single monitor for the lyrics to be displayed upon. If you require more screens or would like to use an in house monitor, please advise us at least 15 working days before the event.
PLEASE NOTE : It is YOUR responsibility to ensure the venue is equipped with at least 1 working, standard double socket.
SOUND LIMITERS: AlexEntertainment will no longer connect to Sound Limiter systems, please ask your venue if they use one. If they do, then I’m afraid we will not be able to perform at your event. Please see our website for more information regarding Sound Limiters.
The company may take photographs or video before or during events, and these may be published for promotional reasons and/or published on our website. All copyright is held by AlexEntertainment. We may use pictures showing people’s faces, if you do not agree to this, please tick the box on your copy of the booking form.
Public Liability Insurance: We will provide cover, Up to £10million, against damage to persons or property caused by our proven negligence; this is included completely FREE with all our services. Your guests will be covered by our insurance so should anything happen, you have piece of mind. Full details regarding the insurance are available on our website and upon request and can be supplied to the venue if they require details.
AlexEntertainment will ensure that all electrical equipment used will be compliant with the relevant Health & Safety legislation regarding the equipment and personnel. Having been tested for electrical safety, a PAT (Portable Appliance Test) certificate will be available for inspection if required.
In the extremely unlikely event of us having to cancel PRIOR to the event (excluding the points below), AlexEntertaiment will refund any monies already paid to us in full, attempt to find an alternative DJ for your event, and as a gesture of goodwill will offer a discount of upto 25% off your next booking. This will be the full extent of our liability. In the event that the event is cancelled part way through due to no fault of ours (for example, the venue manager halts the event or power failure within the building) no refunds will be made (if payment hasn’t been made yet, full payment will still be required).
We reserve the right to cancel our services at ANY TIME should we:
- Discover at any time that the Venue is unsuitable or dangerous.
- Discover at any time that our equipment would need to plugged into a Sound Limiter (or equivalent) device
- Feel our equipment or safety is in danger.
- Encounter physical or verbal abuse from any of your guests. We will locate you on the day should we encounter this and will try to arrange a possible solution before ending the event.
In these circumstances, no refund will be made and full payment will still be required.
In the exceptionally unlikely event of us suffering catastrophic equipment failure, resulting in non-fulfilment of any of the services AlexEntertainment supply, we will refund any payments made on a pro rata basis of the booked time remaining. No further compensation can be claimed. Please note, we do have access to a Backup Rig so this is EXTREMELY unlikely!
AlexEntertainment will attempt to contact you via the telephone or email details you provided, approximately two week before the event, to confirm the event is still going ahead. Cancellations made by yourself within 14 days of the event will result in the full fee being charged. Your statutory rights are not affected.
If the time between Enquiry/quotation and the event is less than 14 days, the cancellation rule above will be adjusted accordingly and your statutory rights will not be affected.
